Keyond is operated by 15240085 Canada Inc. (“Keyond,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, and protect personal information through our website, portals, account management tools, and resident services.
1. Our role
Keyond provides tools that organizations use to manage portals, property information, contacts, documents, resident access, and service requests.
When you interact with a portal or property organization through Keyond, that organization may determine what information is collected and how it is used for its operations. Its own privacy policy may also apply.
We are responsible for information we handle for our own business purposes. When we process information on another organization’s behalf, we do so under our agreement with that organization and applicable law.
2. Information we collect
The information we collect depends on how you use Keyond. It may include:
- Account information: Your name, email address, contact details, profile information, and account preferences.
- Access information: Your organization, workspace membership, role, property or unit association, invitations, and access permissions.
- Submitted content: Inquiries, messages, service requests, documents, photographs, videos, and other information you provide.
- Activity information: Interactions with portals, content, and account features.
- Technical information: IP address, browser and device information, session identifiers, and operational or security logs.
- Support communications: Information you provide when contacting us for assistance or making a privacy request.
We may receive information directly from you, from your sign-in provider, or from an organization that manages your access to Keyond.
Please submit only information reasonably needed for the feature or request you are using. Avoid including sensitive information about yourself or others unless it is necessary and you have authority to provide it.
3. Google and other sign-in providers
If you choose to sign in through Google or another supported provider, we receive the identity information made available through the permissions you authorize. This may include your provider account identifier, name, email address, and profile image.
We use this information to authenticate you, maintain your account, and support access to Keyond. Signing in with Google does not give us your Google password.
You can review or revoke Keyond’s authorization through your provider’s account settings. Revoking authorization does not automatically delete your Keyond account or information held by an organization using Keyond.
Any additional access to provider services requires the relevant authorization and disclosure.
4. How we use information
We use personal information to:
- Create and maintain accounts and verify access.
- Deliver portals, documents, and property information.
- Support inquiries, resident services, and service-request workflows.
- Communicate about access, requests, support, and service changes.
- Operate, maintain, troubleshoot, and improve Keyond.
- Detect misuse, investigate incidents, and protect the service.
- Meet legal obligations and enforce applicable agreements.
Where consent is required, we obtain it in a manner appropriate to the information and purpose. We will seek additional consent where required before using information for a materially different purpose.
5. How information is shared
We disclose information as needed to provide the service. Authorized personnel at the organization managing your access or request may receive information relevant to their portal, property, unit, or service responsibilities.
Service providers support functions such as hosting, authentication, data storage, communications, technical support, and service-request management.
Information you submit may be transferred to systems used by the responsible organization. For example, a property service request and its attachments may be sent to that organization’s support system and made available to personnel handling the request.
Some submitted media may be shared through a link that allows anyone holding the link to view it while it remains available. Treat these links as confidential and share them only with intended recipients.
We may also disclose information where required or permitted by law, to protect legal rights or safety, or in connection with a business transaction subject to applicable privacy requirements.
6. Cookies and similar technologies
Keyond uses cookies and similar browser technologies to maintain sessions, support authentication, remember settings, and operate service features.
Our website uses Google Tag Manager to load Google Analytics and Hotjar. These tools help us understand website traffic and how people use our pages, including through usage analytics, heatmaps, and session recordings. They may collect information about your device, browser, page visits, and interactions with the website.
You can control cookies through your browser settings. Blocking certain cookies may prevent sign-in or other features from working.
7. Where information is processed
Keyond and its service providers may store or process information in Canada and other countries. Information processed outside Canada may be subject to the laws and lawful access requirements of those jurisdictions.
Contact us if you have questions about the providers or processing arrangements relevant to your information.
8. Retention
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including providing services, supporting customer relationships, resolving disputes, maintaining security, and meeting legal obligations.
Retention depends on the type of information, the service involved, and applicable customer agreements. Different retention periods may apply to accounts, service records, attachments, logs, and backups.
Closing an account or removing access does not necessarily delete records that a property organization must retain. Copies transferred to another organization’s systems are subject to that organization’s retention practices.
9. Security
We use technical and organizational safeguards appropriate to the information we handle, including access controls and measures intended to prevent unauthorized access, loss, or misuse.
No system or method of transmission is completely secure. Please protect your credentials and notify us promptly if you suspect unauthorized access.
10. Your choices and privacy rights
Subject to applicable law, you may request access to your personal information, correction of inaccurate information, or information about how it has been used or disclosed. You may also request deletion or withdraw consent where applicable.
We may need to verify your identity before responding. Legal requirements and legitimate retention needs may limit what we can delete.
Where an organization controls the records involved, we may direct your request to that organization or coordinate a response with it. Withdrawing consent may affect our ability to provide certain features.
To make a request or raise a concern, contact privacy@keyond.ca. If you remain dissatisfied after contacting us, you may contact the privacy regulator with jurisdiction over your concern.
11. Changes to this policy
We may update this policy as our services or practices change. We will post the revised policy with an updated effective date and provide additional notice or obtain consent where required by law.
